Public Records Inspection Requests

The city of Rio Rancho’s official records custodian is the City Clerk.

Inspecting Public Records

PLEASE BE ADVISED:  Documents requested pursuant to the New Mexico Inspection of Public Records Act may be redacted or exempted from disclosure as allowed by law.  If you require unredacted or confidential documents, please contact the City Clerk’s Office or the Office of the City Attorney for further information.

 Any person may submit their request to inspect public records to the City Clerk’s office in person, via e-mail to City Clerk's Office, by mail or FAX.

City of Rio Rancho Request to Inspect Public Records Form

Pursuant to state law, every person has the right to inspect the public records of the city of Rio Rancho.

Those desiring to inspect public records may submit a request to the City Clerk's office orally, electronically, or in writing. However, the procedures and penalties prescribed by state law apply only to electronic or written requests.

An electronic or written request must contain the name, address and telephone number of the person making the request. The request must describe the records sought in sufficient detail to enable the records custodian to identify and locate the requested records.


The City Clerk’s office must permit inspection immediately or as soon as practicable, but no later than fifteen (15) calendar days after the records custodian receives the inspection request. If inspection is not permitted within three (3) business days, the person making the request will receive an electronic or written response explaining when the records will be available for inspection or when the public body will respond to the request. If any of the records sought are not available for public inspection, the person making the request is entitled to an electronic or written response from the City Clerk’s office explaining the reasons inspection has been denied. The electronic or written denial shall be transmitted, delivered or mailed within fifteen (15) calendar days after the City Clerk’s office received the request for inspection.

If those requesting inspection would like a copy of a public record, the following fees will be charged and must be paid in advance of copies being made: photocopies $0.25 per page ($0.50 per page for two-sided copies); cassette $5 per tape; CD/DVD $5 per disc; and videocassette $5 per tape. When producing records in electronic format, actual costs associated with downloading copies of public records to a storage device, along with the actual cost of the storage device, or the actual cost of transmitting the public records may also be charged.
